Job Summary:  Acts as main receptionist for Mortgage Office, taking calls, scanning files and handling various office tasks.

Essential Duties:

  • Responsible for answering incoming calls and taking accurate, clearly stated messages, and greeting customers.
  • Handle incoming and outgoing mail tasks such as, Fed Ex labels & monitoring shipments, preparing mailing labels, accepting & distributing deliveries.
  • Ensure excellent customer service by communicating clearly and exchanging information carefully. 
  • Maintain a high level of customer confidentiality.
  • Work independently while following instruction.
  • Scans closed in-house loans and trailing documents into Accu-Systems.
  • Ordering  wire transfers, assists in JH transactions for loan payments and HELOC transfer.
  • JH  Maintenance
  • Monitoring outstanding title policies, recorded & trailing documents.
  • Process file maintenance paperwork for payoff loans.
  • Filing, Excel, Word Processing, Accu-Systems, Jack Henry.
  • Process file maintenance paperwork for payoff loans.
  • Complete required training and compliance with Bank Secrecy Act/Anti-Money Laundering policies, procedures, including identification of suspicious activity, CTR (Currency Transaction Report) preparation and other job specific policies/procedures pertaining to this position.
  • May perform additional duties as required by business needs.

 Education / Experience:

  • A high school diploma or equivalent.
  • This position requires at least 2 years previous  general office experience and bookkeeping experience a plus.
  • Knowledge applicable to mortgage loan industry a plus.

Minimum Qualifications:

  • Ability to communicate clearly and exchange information carefully.
  • This position requires at least 2 years previous general office experience and bookkeeping experience a plus. 
  • Excellent customer service skills with attention to detail.
  • Strong clerical office skills including filing, typing, 10-key and answering phone.
  • Ability to work in an environment with a high volume of production.
  • Good grammatical, spelling, and word usage expertise.
  • Ability to develop and maintain organizational structure.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with a diverse group of people.
  • Ability to prioritize, meets deadlines, and coordinates a variety of activities.
  • Skills in the operation of a personal computer with word processing and spreadsheet software, PC based programs, and intra/internet and other office equipment
  • Ability to work independently and make sound judgments.
  • Ability to understand many areas of mortgage industry.

Physical Requirements:

  • Must be able to remain in a stationary position constantly. 
  • The person in this position needs to occasionally move about inside the office to access file cabinets and other office machinery such as, a copy, printer, fax machine, scanner.
  • Constantly operates a computer and other office productivity machinery; such as a calculator, copy machine, scanner, fax, and printer.
  • The person in this position frequently communicates with employees and/or customers with inquiries.  Must be able to exchange information in these situations.
  • Constantly assesses information from computer, manuals, spreadsheets and other bank systems.
  • Ability to transport file boxes to another work location (records vault).
  • In charge of shredding and file keeping in vault.
  • Ability to drive and/or ride in a vehicle to attend educational training or required meetings.
