Job Summary: Performs moderately complex clerical duties related to commercial, consumer, and mortgage loans.


Essential Duties:

  • Processes all complex payments and payoffs ensuring funds are applied to appropriate accounts.
  • Processes loan documents on a computer using a loan servicing software program.
  • Set up loan information on the computer.
  • Set up loan files to meet commercial and consumer lending specifications.
  • Serves as a customer service representative answering all telephone and written requests for net payoff quotes, credit ratings, and resolving problems.
  • Verifies titles received for new loans and audits agencies.
  • May pay property taxes and maintain records accordingly.
  • Process DMV title transfers as needed.
  • Daily maintenance service to loan accounts as needed.
  • Maintain insurance tracking, processing and follow-up.
  • May order loan coupon books.
  • May be responsible for flood insurance tracking and maintenance.
  • May act as a relief Escrow Clerk.
  • May set up and track OREO files
  • May set up and work with various bank lending partners such as Farmer Mac, Agri-Access, Farm Service Agency and the Small Business Administration.
  • Set up and monitor tax tracking and credit life/disability insurance.
  • UCC & EFS filing and renewal setup and tracking.
  • Monitor daily reports of loan clearing, closed loans, loan exceptions, billing and rate changes.
  • Complete required training and compliance with Bank Secrecy Act/Anti-Money Laundering policies, procedures, including identification of suspicious activity, CTR (Currency Transaction Report) preparation and other job specific policies/procedures pertaining to this position.
  • May perform other duties as required by business needs.

*Incumbents in this position may be asked by the loan servicing manager to divide up the essential duties among other processors and/or may be asked to routinely rotate the duties.

 

Education / Experience:

  • A high school diploma or equivalent.
  • This position typically requires a minimum of 1 or more years of clerical experience with a working knowledge of bank services.

 

Minimum Qualifications:

  • Ability to coordinate a variety of activities and develop, maintain organizational structure.
  • Ability to learn basic lending laws and practices associated with processing loans.
  • Ability to communicate effectively both verbally and in writing.
  • Skills in the operation of a personal computer with word processing and spreadsheet software and intra/internet.
  • Ability to establish and maintain effective working relationships with a diverse group of people.
  • Ability to operate a fax and copy machine.
  • Strong clerical skills including filing, typing, 10-key and answering phone.
  • Basic knowledge of Excel and Word software programs by creating new documents or maintaining existing spreadsheet/documents.
  • Ability to operate a loan software program.
  • Ability to understand debits and credits.
  • Ability to prioritize work and meet deadlines.
  • Ability to work in an environment with a high volume of production.

 

 


Physical Requirements:

  • Must be able to remain in a stationary position constantly.
  • The person in this position needs to occasionally move about inside the office to access file cabinets and other office machinery; such as a copy and/or fax machine.
  • Constantly operates a computer and other office productivity machinery; such as a calculator, copy machine, and printer.
  • The person in this position frequently communicates with employees and/or customers with inquiries. Must be able to exchange information in these situations.
  • Constantly assesses information from computer, manuals, spreadsheets and other bank systems.
  • Ability to transport file boxes to another work location (records vault).
  • Ability to drive and/or ride in a vehicle to attend educational training or required meetings.
