Human Resources Assistant

Job Position: Human Resources Assistant
Reports To: HR Manager
Department: Human Resources
Schedule: Monday-Friday 32-40 hours per week
Job Status: Hourly/non-exempt

                         

Job Summary:  Provide assistance of human resources functions, such as benefits and compensation administration, staffing, and training. Responsible for processing company payroll.

Essential Duties:

  • Assists department in carrying out various human resource programs and procedures for all company employees.
  • Participates in benefits administration to include change reporting, approving invoices for payment and occasional claims resolution.
  • Assists in administration of the compensation program; helps monitor the performance appraisal process.
  • May participate in recruitment efforts and assist in running pre-employment screenings and reference checks; may also help conduct new-hire orientation
  • Maintains human resource information system records and compiles reports from the database as needed.
  • Assists in organizational training and development efforts; may research available training sources and methods to determine the most effective manner in which to conduct programs.
  • Assigns specific training activities to other bank personnel.
  • Maintains records on the progress and performance of those involved in the training.
  • Analyzes, prepares and inputs payroll data utilizing automated system to produce accurate and timely payroll.
  • Performs various general ledger entries and account reconciliations.
  • Maintains current knowledge of applicable state and federal wage and hour laws.
  • Prepares federal and state tax reports quarterly and annually.
  • Facilitates management and employee understanding of payroll procedures.
  • Administers and maintains accurate data on the Bank's employee intranet/portal.
  • Complete required training and compliance with Bank Secrecy Act/Anti-Money Laundering policies, procedures, including identification of suspicious activity, CTR (Currency Transaction Report) preparation and other job specific policies/procedures pertaining to this position.
  • Perform other duties, as business need requires.

Education/Experience

  • Bachelor's degree in business or human resource management, or minimum 3 years of human resources and payroll related experience, or any similar combination of education and experience.

Minimum Qualifications:

  • Bachelor's degree in business or human resource management, or minimum 3 years of human resources and payroll related experience, or any similar combination of education and experience.
  • Ability to communicate effectively both verbally and in writing.
  • Skills in the operation of a personal computer with word processing and spreadsheet software and intra/internet.
  • Ability to establish and maintain effective working relationships.
  • Ability to prioritize and coordinate a variety of activities.
  • Knowledge in payroll preparation and procedures, multi-state experience a plus.
  • Ability to operate a fax and copy machine.

Physical Qualifications:

  • Must be able to remain in a stationary position constantly. 
  • The person in this position needs to occasionally move about inside the office to access file cabinets and other office machinery; such as a copy and/or fax machine.
  • Constantly operates a computer and other office productivity machinery; such as a calculator, copy machine, and printer.
  • The person in this position frequently communicates with employees and/or customers with inquiries.  Must be able to exchange information in these situations.
  • Constantly assesses information from computer, manuals, spreadsheets and other bank systems.
  • Ability to transport file boxes to another work location (records vault).
  • Ability to drive and/or ride in a vehicle to attend educational training or required meetings.
