Electronic Banking Specialist 
Operations Support Manager

Job Summary: Incumbents in this position will be responsible for the daily operations in the electronic banking area. Employees will be required to rotate through, train others and cover as needed in various functional areas: VISA Card, Debit Card, Wire Transfer, ACH Transfer, Operations/Statement Support, e-Banking, and Unposted Desk.

VISA Card Essential Duties:

  • Process bankcard applications and order new cards.
  • Fraud alert monitoring and contact with customers.
  • Assist customers with disputes or inquiries regarding billing statements, charges, and payments.
  • Verifiy accurate transactions and maintains records.
  • Ensure accounts are coded as lost, stolen, or fraudulent.
  • Research inquiries and takes appropriate action.
  • Responsible for contact with card vendors.
  • Balance VISA General Ledger and DDA Accounts.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments. 
  • May perform other duties as required by business needs.

Debit Card Essential Duties:

  • Process debit card applications, order new cards, perform card maintenance as required.
  • Fraud alert monitoring and contact with customers.
  • Process customer disputes in accordance with REG E.
  • Verify accurate transactions and maintains records.
  • Ensure accounts are coded as lost, stolen, or fraudulent.
  • Research inquiries and takes appropriate action.
  • Responsible for contact with card vendors.
  • Balance ATM/Debit General Ledger and DDA Accounts.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments.
  • May perform other duties as required by business needs.

 Wire Transfer Essential Duties:

  • Process Fedline functions including incoming and outgoing wires.
  • Input confidential data to process transfers.
  • Verify accurate transactions and maintains records.
  • Process Large Item Returns.
  • Notify customers and other company departments of funds transferred to their accounts.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments. 
  • May perform additional duties as required by business needs.

 ACH Transfer Essential Duties:

  • Process ACH receiving, originations, and returns.
  • Verify accurate transactions and maintains records.
  • Contact origination company upon receipt of ACH file.
  • Set up new BEO originations.
  • Cash Management set-up and support
  • Process ACH Stop Payments and WSUD in accordance with ACH regulation.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments. 
  • May perform additional duties as required by business needs.

. Operations/Statement Support Essential Duties:

  • Provide timely and accurate distribution of bank statements and CD statements for the assigned cycle dates set, which includes assembling, sorting, and mailing.
  • Keep informed on changes in the U.S. Postal Service rules, regulations, and rates.  Investigates alternative delivery services to ensure promptness and cost effectiveness.  Orders postage according to the Bank's need or planned mailings.
  • Arrange  maintenance service on the postal machine/stuffer as needed.
  • Daily review item processing totals.
  • Daily processing Bounce Protection and mailing notices.
  • Reconcile central accounting bank statements or certification balancing as assigned.
  • Daily monitoring  Fraud and KITE activity.
  • Conduct research for subpoenas and other requested information.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments. 
  • May perform other duties as required by business needs.

 E-Banking Essential Duties:

  • Assists customers with internet banking questions regarding lock outs, bill pay and other inquiries.
  • Monitor internet banking Fraud programs.
  • Troubleshoot ESI or phone banking inquiries.
  • Input check adjustments on Fedline.
  • Order CAO supplies as needed.
  • Order business forms and business cards.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments. 
  • May perform other duties as required by business needs.

 Unposted Desk Essential Duties:

  • Daily processing of NSF and Unposted items.
  • Prepare entries to adjust general accounts affected by returned items.
  • Process specific reports for various types (i.e., stop payments, held funds, no account found, etc) of returned items and general reports for nonpayment.
  • Send returned items electronically to the Federal Reserve Bank .
  • Correspond with customers and bank personnel regarding adjustments to customer accounts.
  • Print and process daily notices.
  • May answer and direct telephone calls as needed for operations, electronic banking, and IT departments. 
  • May perform other duties as required by business needs.

Required by all incumbents: Complete required training and compliance with Bank Secrecy Act/Anti-Money Laundering policies, procedures, including identification of suspicious activity, CTR (Currency Transaction Report) preparation and other job specific policies/procedures pertaining to this position.

Education / Experience:

  • A high school diploma or equivalent.
  • Requires strong familiarity with computer online systems and 1 to 2 years experience in a banking/financial institution.

Minimum Qualifications:

  • Ability to develop and maintain organizational structure.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with a diverse group of people.
  • Ability to prioritize and coordinate a variety of activities; with special attention to detail.
  • Skills in the operation of a personal computer with word processing and spreadsheet software, PC based programs, and intra/internet
  • Basic clerical skills including filing, typing, 10-key and answering telephone.
  • Ability to understand bank regulations, especially Reg E and Bank Secrecy Act (BSA).
  • Ability to understand many areas of banking procedures, products and services.
  • Ability to operate a fax and copy machine.

Physical Requirements:

  • Must be able to remain in a stationary position constantly. 
  • The person in this position needs to occasionally move about inside the office to access file cabinets and other office machinery; such as a copy and/or fax machine.
  • Constantly operates a computer and other office productivity machinery; such as a calculator, copy machine, and printer.
  • Statement processor must be able to lift paper boxes, transport multiple statement trays to Post Office.
  • The person in this position frequently communicates with employees and/or customers with bankcard inquiries.  Must be able to exchange information in these situations.
  • Assess the daily operations from computer, manuals, spreadsheets and other bankcard systems.
  • Ability to transport file boxes to another work location (records vault).
  • Ability to drive and/or ride in a vehicle to attend educational training or required meetings.
